Rockford Center is a 138-bed mental health facility located in Newark, DE, providing easy access to a full complement of inpatient and partial behavioral health programs for children and adolescents, adults, and older adults. Rockford is the only child inpatient behavioral health facility in DE, offers an experienced and tenured senior management team, and serves New Castle County and northern Maryland.

Position Summary:

The Unit Coordinator/Secretary plays a vital role in supporting the daily operations of the behavioral health unit by providing administrative and clerical assistance to clinical staff, patients, and visitors. This position serves as the central point of communication within the unit, ensuring that documentation, scheduling, and coordination tasks are completed efficiently and accurately. The incumbent will demonstrate strong organizational skills, attention to detail, and the ability to maintain confidentiality in a fast-paced healthcare environment. Compassion, professionalism, and a commitment to supporting mental health care are essential qualities for success in this role.

Responsibilities:

  • Perform clerical duties including filing, scanning, faxing, and photocopying documents.
  • Maintain accurate and up-to-date patient records and unit logs.
  • Prepare and distribute reports, forms, and other documentation as needed.
  • Serve as a liaison between patients, families, clinical staff, and other departments.
  • Answer and direct phone calls, take messages, and respond to inquiries professionally.
  • Coordinate patient admissions, discharges, and transfers in collaboration with clinical staff.
  • Ensure timely and accurate documentation in electronic health record (EHR) systems.
  • Adhere to HIPAA regulations and maintain confidentiality of patient information.
  • Follow hospital policies and procedures related to safety, infection control, and documentation standards.
  • Greet and assist patients, visitors, and staff in a courteous and professional manner.
  • Monitor inventory and order supplies for the unit as needed.

Qualifications

Requirement:

  • High school diploma or equivalent required
  • Associate's degree in Health Information, Healthcare Administration or Business Administration preferred.
  • Minimum of 1-3 years of experience in a medical office or healthcare setting
  • Familiarity with medical terminology and EHR systems preferred
  • Excellent customer service and communication skills
  • Strong attention to detail and organizational abilities
