Overview

Make an impact behind the scenes and across the organization.

Are you someone who sees what needs to happen next, keeps a lot of moving pieces organized and enjoys turning ideas into action?

We're looking for an experienced professional to play a key coordination role on our HR - Associate Experience team, helping bring programs, events, learning opportunities and associate communications to life. You'll manage the many details that keep these efforts running smoothly, while also providing executive administrative support to our Chief Human Resources Officer (CHRO). If you're highly organized, comfortable juggling competing priorities and known for being the person who makes things happen, this could be a great fit.

What You'll Do

Provide executive and team administrative support

  • Provide proactive administrative support to the CHRO, including calendar management, meeting coordination and other day-to-day needs.
  • Anticipate upcoming needs and ensure the CHRO is prepared for meetings, presentations, events and key activities.
  • Coordinate HR team meetings and events, including scheduling, logistics, materials, communications and other details needed for successful execution.
  • Prepare presentations, reports, spreadsheets, correspondence and other materials.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Provide day-to-day administrative and coordination support across the HR team, including ordering supplies, organizing materials, maintaining program information and resources, coordinating mailings and supporting other needs as they arise.

Coordinate associate events and recognition programs

  • Coordinate large-scale associate events and recognition programs from planning through execution.
  • Manage event details including timelines, communications, registrations, materials, vendors, supplies and logistics. Provide on-site or day-of coordination and support as needed.
  • Partner with internal teams and stakeholders to ensure events are organized, well-communicated and successfully executed.

Support learning, onboarding and development programs

  • Coordinate new associate onboarding and orientation activities.
  • Coordinate learning and development programs, including schedules, participant communications, materials and session logistics.
  • Promote learning and development opportunities through internal communications and outreach to build awareness and maximize participation.
  • Collect and organize participant feedback to help evaluate session effectiveness and identify opportunities for improvement.
  • Partner with program owners and facilitators to provide an organized and positive experience for participants.

Support communications and associate resources

  • Coordinate recurring Associate Experience communications and program messaging.
  • Create, update and maintain internal resources, program information and intranet content.

What You Bring

  • Demonstrated experience in administrative or executive support, with experience coordinating programs, events or related activities.
  • Bachelor's degree preferred; relevant work experience may be considered in lieu of a degree.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and details at once.
  • A proactive approach with the ability to anticipate needs, take initiative and follow through.
  • Strong interpersonal skills and the ability to work effectively with executives, leaders, associates and internal partners.
  • Resourcefulness and the ability to find solutions when the path forward isn't immediately clear.
  • Strong proficiency in Microsoft Outlook, PowerPoint, Word and Excel; SharePoint experience is helpful.

What Success Looks Like

You are someone others can rely on to keep things organized and moving. You anticipate what may be needed next, follow through on details and take pride in creating a positive experience, whether you're coordinating a large-scale associate event, supporting a development program, supporting the CHRO or simply making sure the many behind-the-scenes details get done. You're also comfortable stepping into new responsibilities, learning along the way and helping wherever your support can make the biggest difference.
